This Privacy Policy applies to websites, forms, newsletters, applications, donations, events, programs, and other digital services operated by the American Foundation for Artificial Intelligence, Inc. (collectively, the “Services”). It does not apply to a third party’s website, product, or service, even when linked from an AFAI page. By using the Services, you acknowledge the practices described in this Policy. If a specific program or activity uses information differently, we may provide an additional notice at the point of collection.

We may collect information you choose to provide, including your name, email address, telephone number, mailing address, organization, professional role, areas of interest, account details, application materials, event registration information, survey responses, communications, and other information submitted through a form or correspondence. If you make a donation or payment, our payment processor may collect payment-card, bank, billing, and transaction information. AFAI generally receives confirmation and transaction details rather than complete payment credentials.

When you use the Services, we and our service providers may receive limited technical information such as IP address, browser and device type, operating system, referring page, pages viewed, approximate location derived from IP address, timestamps, and diagnostic or security events. We may use cookies, local storage, pixels, or similar technologies as described in our Cookie Policy.

We may use information to provide and maintain the Services; respond to inquiries; process donations and issue receipts; administer applications, programs, events, grants, and partnerships; send requested updates; personalize and improve user experience; understand participation and program performance; prevent fraud and protect security; enforce our terms; maintain records; and comply with legal obligations. Where required, we will request consent for a particular use. We do not sell personal information for money.

We may share information with vendors that help us operate, including providers of hosting, email, forms, analytics, payment processing, donor management, event registration, application management, security, and professional services. These providers may use information only as permitted by their agreements and applicable law. We may also share information when you direct us to do so; with program or event partners after appropriate notice; to protect rights, safety, and security; to investigate misuse; to comply with law or valid legal process; or in connection with an organizational transaction such as a restructuring or transfer of assets. We may disclose aggregated or de-identified information that does not reasonably identify an individual.

Information submitted in connection with a donation, grant, fellowship, job application, research opportunity, project, or partnership may be reviewed by AFAI personnel and by service providers or reviewers supporting that process. We limit access according to operational need and may provide a more specific notice when a program requires additional information. Please do not submit sensitive personal information unless it is requested and necessary for the applicable process.

We retain information for as long as reasonably necessary for the purpose for which it was collected, including to provide services, maintain organizational and financial records, meet donor and grant obligations, resolve disputes, protect security, and satisfy legal requirements. Retention periods vary based on the type of record and our operational, contractual, and legal obligations. We may retain aggregated or de-identified information for longer periods.

We use administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You should use care when deciding what information to send online and notify us if you believe your interaction with AFAI has been compromised.

You may unsubscribe from promotional email by using the link in the message. You may also manage cookies through your browser and, where available, our consent controls. Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or information about certain processing. Some rights are subject to exceptions, identity verification, and record-retention requirements. To submit a privacy request, use our contact page and identify the request as a privacy matter. We will respond as required by applicable law.

Our general-audience Services are not directed to children under 13, and we do not knowingly collect personal information from a child under 13 without appropriate authorization. AFAI programs designed for students or young people may use separate notices, consent processes, and safeguards appropriate to the program and participant age. If you believe a child provided information improperly, please contact us.

AFAI is based in the United States. If you access the Services from another country, your information may be processed in the United States or other locations where our providers operate. Those locations may have different data-protection rules. Where required, we use appropriate measures for cross-border transfers.
